Privacy Policy

This Privacy Policy describes how California sole proprietorship doing business as VerifyBooks (“VerifyBooks,” “we,” “us”) collects, uses, and protects information when you use verifybooks.app (the “Service”).

1. Summary

• Upload only. We do not connect to QuickBooks or other accounting systems.
• Files deleted. We analyze your exports and delete them. We do not keep copies of your files.
• Run summary kept. We store your verdict, check results, file fingerprints, and certificate details so you can retrieve your report.
• No sale of data. We do not sell your information. We do not use your uploads to train AI models.

2. Information we collect

Information you provide

• Uploaded export files (CSV/XLSX) — Trial Balance, Balance Sheet, General Ledger, optional Profit & Loss;
• Payment information — processed by Stripe; we receive transaction identifiers and payment status, not full card numbers.

Information collected automatically

• Run summary — run ID, date and time, names of files you uploaded, what we found in each file (row counts, period, columns, warnings), verdict, check results, file fingerprints (SHA-256);
• Technical logs — standard server logs (IP address, browser type, pages visited, errors) for security and reliability.

3. How we use information

We use information to:

• Parse uploads and run integrity checks;
• Display results and generate certificates;
• Process payments and prevent duplicate charges;
• Operate, secure, and improve the Service;
• Comply with law and enforce our Terms of Service.

4. What we do not do

• We do not sell personal information;
• We do not use customer uploads to train machine-learning or AI models;
• We do not access live accounting data through Intuit or other platform APIs;
• We do not provide accounting, tax, or audit services.

5. Retention

• Upload files: deleted after we analyze them; any temporary server copy removed within 24 hours. See Trust & data handling.
• Run records: kept so you can view results and download certificates. Contact us to request deletion of a specific run.
• Stripe records: governed by Stripe’s policies and our bookkeeping needs.

6. Sharing

We share information only with:

• Service providers that help us operate the Service (for example application hosting on Railway, payment processing via Stripe, web font delivery via Google Fonts, and script delivery via unpkg), under contractual confidentiality and security obligations where applicable;
• Authorities when required by law or to protect rights and safety.

We do not share uploads with other customers.

7. Security

We use encrypted connections (HTTPS), restrict access to our systems, and follow least-privilege practices. No online service is 100% secure. You upload at your own discretion regarding file content.

If we learn of a security incident that affects your information, we will notify affected users as required by applicable law and take reasonable steps to investigate and remediate.

VerifyBooks is not a HIPAA-covered service, financial institution, or SOC 2-certified platform. Do not upload information you are required to keep under stricter regulatory controls unless your policies allow third-party processing under our Trust & data handling terms.

8. Your choices

• You may choose not to use the Service;
• You may redact sensitive fields from exports before upload;
• You may contact us to request deletion of a specific run record where feasible.

California residents may have additional rights under the CCPA/CPRA. Contact verifybooks@proton.me to submit a request. We will not discriminate against you for exercising privacy rights.

9. Children

The Service is not directed to children under 18. We do not knowingly collect information from children.

10. International users

The Service is operated from the United States. If you access it from elsewhere, you consent to processing in the U.S.

11. Changes

We may update this Policy. Material changes will be posted on this page with an updated date.
