VerifyBooks is built for bookkeepers and business owners who need proof that an export pack is complete and consistent — without giving anyone live access to QuickBooks. This page explains what happens to your files and what we keep.

What VerifyBooks does and does not do

  • Upload only. You upload exports you already downloaded. We never log in to QuickBooks, request OAuth, or change anything in your books.
  • Export integrity only. We check whether your files are readable, internally consistent, and agree with each other — not whether your accounting is correct.
  • Not professional advice. Results are automated file analysis. Talk to a qualified CPA, EA, or bookkeeper before acting on findings.

What happens when you upload

  1. Receive — Your files are sent over an encrypted connection (HTTPS).
  2. Read — We open your CSV or Excel files and pull the fields needed for our 30 integrity checks. We create a file fingerprint (SHA-256) for each upload.
  3. Check — 30 automated checks run on that data in memory.
  4. Show results — You see the verdict, score, and pass/fail detail in your browser.
  5. Delete the files — We do not keep copies of your uploads as part of your report.

What we keep and what we do not

Security

  • Encrypted connection — verifybooks.app uses HTTPS.
  • No QuickBooks passwords stored — we never hold Intuit login credentials.
  • Upload limits — helps prevent abuse.
  • Hosting — the app runs on Railway. See Railway’s privacy policy for infrastructure details.
  • Incident response — if we learn of a security incident affecting your information, we will notify affected users as required by law.
  • Not a regulated vault — VerifyBooks is not HIPAA-certified, a financial institution, or a SOC 2-certified document repository.

Sensitive information in your exports

Exports can include business names, account names, and — in detailed general-ledger files — memos or vendor names. For VerifyBooks:

  • We do not keep copies of your export files after processing.
  • Your saved report may show account names and the names of files you uploaded — those are needed to explain tie-out results.
  • We do not save full general-ledger memo or payee text in your report.
  • If your firm or client requires it, remove or redact sensitive information before you upload.

We do not use your data to train AI models. We do not sell your data.

Payments

Paid reports go through Stripe. You enter your card on Stripe’s secure checkout page — we do not store card numbers. We receive payment confirmation to unlock your certificate.

Your responsibilities

  • Upload only exports you are allowed to share with us;
  • Use the same reporting period and basis for Trial Balance, Balance Sheet, General Ledger, and optional Profit & Loss;
  • Treat certificates as export-file integrity records — not audit opinions;
  • Email verifybooks@proton.me to request deletion of a run record.
